Credit card bill tracking for watch dealers
WatchFlow shows what you owe on each business card as bills, with a Mark paid button that records full or part payments and an Undo. Every card sits on one All cards page, grouped Due, Coming up and Just refreshed, and each card has its own statement-style page.
At a glance
- One box per card in Payables, soonest bill first, overdue in red.
- Bills grouped by due date, each with a full-width bar and a Mark paid pop-up.
- Part payments leave the rest open; Undo takes a payment back.
- An All cards page grouped Due, Coming up and Just refreshed.
- One swipe that paid for several watches shows as one charge.
Cards are where a watch dealer's money hides
Most dealers buy on cards, and the card bill arrives weeks after the watch is bought. By then the question "what do I actually owe, and when?" is spread across statements, a spreadsheet and memory. WatchFlow turns the charges you already log on purchases into bills you can see and pay down, so the card side of your payment ledger is as clear as the customer side.
Payables opens with your cards
The Payables page opens with one box for each card (or each buyer's bill) that still has something open, soonest bill first. Overdue amounts show in red, and the holder's name sits under the card name. Tap a box and the long Payables list filters to that card. That list now also carries every open card charge and every card bill payment next to your vendor payables, so nothing sits in a separate screen.
Bills, Mark paid, part payments and Undo
Open a card and its charges are grouped into bills by due date. Each bill starts with a full-width bar named like a statement, for example "AUG 15 BILL", in red when it is overdue and slate when it is not yet due, with the open amount and a Mark paid button. Charges under it show the watch, the charged date and the amount.
- Mark paid opens the regular payment pop-up: the date paid, what it was paid from, the amount (filled with the whole bill) and a note. It tells you how much stays open after the payment.
- Part payment: change the amount and the rest of the bill stays open; payments go against the oldest bill first. Each charge shows what has been paid and what is left.
- Undo voids a payment. It stays in the list, struck through and marked undone, and the bill opens again for the full amount.
- With bill tracking on, a charge stays open until it is marked paid, instead of dropping off the list on a timer.
Mark paid records a payment you made with your bank or card; WatchFlow keeps the books, it does not move money.
All cards, grouped by what needs you
The All cards page lists every card with its balance and sorts each one into exactly one section: Due (overdue money, or a bill due today or earlier), Coming up (an open balance that is not due yet) and Just refreshed (nothing open, or the due day passed a couple of weeks ago and nothing is overdue). Empty sections are hidden, and totals for open and overdue across all cards sit on top. WatchFlow does not store a statement closing date, so "just refreshed" is worked out from the card's due day.
A page per card, like a plain statement
Tapping a card opens one page that starts with a plain sentence, such as how much you owe, how much of it is overdue from past bills, and the next bill and its due date. Below it are Owed, Overdue and Next bill figures, then OVERDUE bills (oldest first), the NEXT BILL, and a collapsed PAID section with the payments recorded and their Undo buttons. The full Payables list for that card is one tap away.
Several holders, and one swipe for several watches
A card can have more than one holder: team members, buyers or the company itself, shown as chips you can add or remove. Add a card from Payables with a name, optional last four digits, who holds it and the bill due day. When a single card charge paid for several watches, the card page shows it as one row, for example "$100,000 · 3 watches", counted once in the bill and opening to each watch and its share. You set that up in a bulk purchase.
Set a default card for new purchases
In Settings, Inventory payment methods lists your cards and accounts and lets you pick a default card for new purchases, saved on tap. Cards and accounts are managed by the owner and admins; a bookkeeper seat can be allowed to add and edit cards, and only the owner can delete one. Runners never manage cards.
What to know
Like other advanced WatchFlow features, it is switched on per team and is off by default. The owner, admins and a bookkeeper seat that can see payments and cost see the card boxes; runners do not. WatchFlow tracks and records, so the card issuer's own statement remains the source of truth for fees and interest.
