Simple views for watch dealer software
Watch dealer software gets simpler when each person sees only the pages, buttons and detail they actually use. In WatchFlow you pick a view, Simple, Standard or Everything, or make your own, and the owner can give each team member a view. A view only hides things: it never deletes data or changes who may see prices.
At a glance
- Three built-in views: Simple, Standard and Everything.
- Make your own view from any of them; only you see it until you share it.
- The owner or an admin can give each person, or each role, a view.
- Edits to a view other people use wait as a draft until you press Save.
- Deleted views stay in Recently deleted for 30 days and can be restored.
One screen doesn't fit everyone at the desk
A full dealer platform has a lot in it: inventory, deals, invoices, contacts, payments, expenses, reports, listings, a website. The owner may use all of it. The person who packs and ships uses three pages. A salesperson on a phone wants the stock list and an invoice button, not a report builder. When everyone gets every screen, the busy people get lost and the new hire needs a tour before they can sell a watch.
WatchFlow answers this with views. A view decides which pages show in the menu, which extra buttons appear and how much detail each screen carries. It lives in Settings, in a group called How WatchFlow looks.
Three built-in views, plus your own
- Simple keeps the everyday pages, such as inventory, deals, invoices, contacts and payments, with less detail on each screen.
- Standard adds most of the rest, with more detail.
- Everything shows the whole platform. It is what you get if nobody has set a view.
Adding a watch, creating an invoice and taking a payment are always on, whichever view you use. Need something in between? Make your own: start from a copy of any view and change it. Your own view is marked "Only you", and nobody else sees it until you share it.
Five short settings, one job each
Instead of one long page of switches, a view is set in five small sections:
- Menu: which pages show on the left. Home and Settings are always there.
- Statuses: which statuses show as tabs. Hiding a status only hides the tab; it never hides a watch.
- Buttons: the extra buttons on lists and watch pages, such as select. The ones that finish a job stay on.
- Detail: how much shows in list columns, summary cards, the watch page and the add-a-watch form.
- Phone: which page the app opens on, and the four buttons along the bottom of a phone screen.
The statuses themselves belong to the business. Changing or deleting a view never removes a status or a step; that list is covered in watch inventory status tracking.
Give each person a view
On a team account, the owner or an admin sees a Who sees what list: every person on the team with a view picker beside their name. You can set a view person by person, or set one per role (for example, every salesperson gets the same view) and decide whether people in that role may switch to another view themselves. Someone you give a view to directly stays on it, although an admin given a view can still switch their own. When the owner saves, the change reaches the team's open screens without a reload.
A view is not a permission. It tidies the screen; it doesn't lock anything. Whether someone can see cost, retail or wholesale prices is set in team roles and permissions, and it is enforced on the server, which is how you hide watch cost from sales staff properly. Use the two together: permissions for what someone may see, a view for what they need to see.
Nothing changes by surprise, and nothing is lost
- Private until shared. A view you make is yours alone. The owner or an admin can share a view with the team; that asks first, and sharing moves nobody onto it; giving it to people is a separate step.
- Drafts for shared views. If other people use a view, your edits wait as unsaved changes and they keep seeing the saved version. Save asks whether to update it for everyone on it or keep it as a new view only for you. Discard throws the changes away.
- Undo last change. After you change a view, it puts the view back one step.
- Recently deleted. A deleted view is kept for 30 days. Restore brings it back, and brings back the people and roles who had it where they are still free. Before you delete a view, WatchFlow tells you who is on it and what they go back to.
More setup and running guides are in the watch dealer resources, and the full platform is on watch dealer software.
What it does and doesn't do
Views change what appears on screen and nothing else. They don't delete or move data, they don't change a report's numbers, and they don't replace permissions: something hidden from a menu is not a security setting. A solo dealer can use views too, for their own screen. A team can keep up to 20 shared views, and each person up to 10 of their own. Team features need a team account; see pricing for what each plan includes.
