Answer

Does WatchFlow have an AI assistant?

Yes, two. The AI Helper sits in WatchFlow's Help panel: tell it what to do, such as add a watch or make an invoice, and it shows a preview that saves only when you tap Confirm. The AI connector brings your book into Claude or ChatGPT, look-up first. Both come with the Pro, Team and Enterprise plans.

Inside WatchFlow

AI Helper

A tab in the Help panel. Tell it what to do; it prepares the work and waits for you.

Inside Claude or ChatGPT

AI connector

Ask the assistant you already use about your stock, contacts and invoices. Look-up first.

How the connector works →

At a glance

  • AI Helper: plain-English requests inside WatchFlow, preview then Confirm.
  • AI connector: ask Claude or ChatGPT about your stock, contacts and invoices.
  • Nothing is saved without your yes; an email from the connector always needs a tap in WatchFlow.
  • Both work within your own role's permissions.
  • The owner can switch either off for the team, and block a member from the connector.

The AI Helper: tell it what to do

The AI Helper is a tab in WatchFlow's Help panel, marked Beta. You type what you want in plain words, and it prepares the work for you to approve. It can:

  • Search your inventory, customers and invoices, and search the Watch Library by words or from a photo of a watch.
  • Prepare a new watch for your inventory, an invoice for a customer (using their store credit if you like), or a store credit.
  • Write a listing caption and save it as a draft; nothing is posted anywhere. See how to write watch listing captions.
  • Build a report with a Download button, or prepare a report emailed to you on a schedule, from the same engine as watch dealer reporting software.
  • Do small screen steps, such as a date range, a sort order, a column or a saved view, each with an Undo button.

Preview first, saved only when you confirm

Anything that would change your data appears as a preview card showing exactly what will happen, such as the invoice lines and totals or the store credit before and after. Only your tap on Confirm saves it, and money actions say so in plain words. Previews expire after a short time. The action runs as you, with your own permissions, so it can't do anything you couldn't do yourself, and a runner seat never sees cost, profit, prices, customers or invoices through it.

Memory and limits you control

The helper can remember how your team works, such as shorthand, defaults and regular customers or vendors. The owner or an admin can read what it learned and delete any of it, and one team's memory is never shown to another. The owner or an admin also sets how much store credit one person can give through the helper each day, and the owner can switch the AI Helper off in Settings → Optional sections.

The AI connector for Claude and ChatGPT

If you already work in Claude or ChatGPT, the AI connector brings your WatchFlow book into that chat. It is look-up first: assistants only read until the owner turns on “Let the assistant add & edit”, which is off by default. Even then, each change is shown as a preview and saved only after you say yes, and sending an email always needs a tap inside WatchFlow. It is ready to connect on Pro, Team and Enterprise, and the owner can switch it off for the team or block one person. The details are in use WatchFlow from Claude and ChatGPT.

What it does and doesn't do

Both prepare work; neither acts on its own. The AI Helper never emails customers (it can email you your own scheduled report), and it doesn't post listings or delete records, and a photo lookup is a starting point for a search, not a promise of the exact reference. Like any AI, they can misread a request, which is why every change is a preview you check first. The AI Helper and the AI connector come with the Pro, Team and Enterprise plans; see pricing. More answers are in the watch dealer resources, and the whole platform is on watch dealer software.
